Planet Aid is a nonprofit organization that collects and recycles used textiles to protect the environment and support sustainable development in impoverished communities around the world.

The Sales Administrator position at Planet Aid supports the corporate sales department, the school and community partnerships program, and the Chief Officer of Strategic Development. The Sales Administrator will be responsible for various administrative tasks related to sales contracts, paperwork processing, database entry, customer communication, research, and providing assistance to partners and the strategic development team. This role requires exceptional organizational skills, attention to detail, and the ability to multitask effectively.

This Position will report directly to the Chief Officer of Strategic Development (COSD) at the Planet Aid corporate office in Elkridge MD.

ESSENTIAL DUTIES AND RESPONSIBILITIES (other responsibilities may be assigned):

  • Maintain updated files for all corporate sales contracts, organizing and archiving them for easy accessibility and reference.
  • Review and process paperwork and database entry for new leasing contracts, including accounting and insurance documentation. Ensure all paperwork is up to date and accurately recorded.
  • Manage contract renewals for corporate sales by maintaining a calendar of upcoming renewals, preparing evaluations, and making recommendations for each renewal.
  • Assist existing partners, including companies and schools, in resolving any payment issues. Process special payment requests for school program activities.
  • Provide excellent customer service in responding to incoming calls and requests connecting them to the appropriate member of the strategic development team
  • Perform basic permit and zoning research and file simple permits as necessary to comply with local regulations.
  • Support client outreach by sending monthly bulletins and other email communications to potential customers, ensuring that all client communication is timely, informative, and error-free.
  • Coordinate the distribution of promotional materials to prospective clients, ensuring that they are sent out accurately and on schedule.
  • Book travel and make necessary arrangements for meetings, including accommodations, transportation, and scheduling.
  • Prepare exhibitions and tradeshows, managing materials and practical arrangements to ensure successful participation and representation of Planet Aid.
  • Conduct online research to support the strategic development efforts of the organization, gathering relevant data and insights to inform decision-making and generate leads.
  • Coordinated meetings for the strategic development team, including scheduling, agenda keeping, minutes, and catering as needed.
  • Assist the strategic development team with various tasks as assigned, providing support in project management, data analysis, and other areas as needed.

Requirements:

EDUCATION and/or EXPERIENCE:

Associate’s Degree and a minimum of 5 years of proven experience in an administrative or sales support role, preferably in a sales environment. Additional experience will be considered in lieu of education.

OTHER SKILLS and ABILITIES:

  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Excellent attention to detail and accuracy in paperwork processing and database management.
  • Proficiency in using office software, including MS Office (Word, Excel, PowerPoint), email clients, and database systems.
  • Strong written and verbal communication skills, with the ability to communicate professionally and effectively with internal and external stakeholders.
  • Ability to conduct research and gather information from various sources using online platforms.
  • Demonstrated ability to work independently and collaboratively within a team environment.
  • Flexibility and adaptability to handle multiple tasks and changing priorities.
  • Knowledge of sales processes, contract management, and customer relationship management (CRM) systems is desirable.
  • Strong ethical conduct and commitment to maintaining confidentiality of sensitive information.
  • Strong customer service skills.

PHYSICAL DEMANDS:

Regularly required to stand and walk. Must frequently lift and/or move up to 20 pounds; occasionally 40 pounds.

WORK ENVIRONMENT:

While performing the duties of this job, the employee is primarily working in an office environment with limited exposure to moving mechanical parts and/or fumes or airborne particles and toxic or caustic chemicals. The noise level in the work environment is usually quiet.
